QR Codes for Weddings & Personal Events
Wedding QR codes have a reputation for being a gimmick, and plenty of them are. But four of them genuinely earn their place — guest photo sharing above all — because they solve problems that were previously solved badly or not at all. The trick is knowing which four, and accepting that a portion of your guests will not scan anything no matter how nicely you ask.

Guest photo sharing — the one that always works
Your photographer covers the ceremony and the formals. What they miss is the entire party from the guests' point of view: the table you weren't at, the dance floor at midnight, the friend crying during the speech. Those photos exist on eighty phones and historically stayed there.
A code on each table pointing at a shared album fixes it, and it's the wedding QR code with by far the highest actual use.
- Pick a destination that needs no app and no account. This is the whole decision. Anything that asks a guest to download something or sign up will lose most of them at 11pm on a dance floor. A shared album link that opens in a browser and allows uploads is what you want.
- Test it on a phone that has never used the service. Your own phone is signed in and will lie to you.
- Put it on every table, not just the entrance. People decide to upload while sitting down, not while arriving.
- Say what it's for. "Share your photos from tonight" — not "scan me."
- Leave the codes up during the evening. Most uploads happen after the meal, and a surprising number the next morning.
Nobody getting married is going to troubleshoot an upload link on the day. Give one organised guest the job of checking it works in the morning and nudging people during the evening. That single delegation is the difference between 200 photos and 12.

RSVPs on the save-the-date
Replaces the reply card, the stamp, and the three-week wait to find out whether anyone is coming. Point it at a simple form — names, attending yes/no, dietary requirements, song request if you want one.
Use a dynamic code here specifically. Save-the-dates go out a year ahead, and in that time you may change platform, venue or plan. A static code printed on 120 cards is a commitment you can't revise.
Seating chart
A code at the entrance beats a large printed board people crowd around, and it lets guests search their own name rather than scanning a list. It also handles the last-minute change gracefully: update the page, and the code is already correct.
Keep the printed board as well if you have one — this is an addition, not a replacement.
Playlist requests
A code on the tables pointing at a collaborative playlist or a request form. Low effort, genuinely used, and it gives your DJ something to work with beyond guesswork. Set expectations that requests are suggestions, not commands.
Codes on the invitation replacing the wedding details, codes on the order of service linking to the readings, codes on favours, codes on the cake table linking to your "story." These get printed and not scanned — the guest is at an event, holding a drink, and the information either matters enough to print properly or doesn't matter. Photos, RSVPs, seating and music all replace a real friction point. The rest is decoration.

Two venue realities to plan around. Reception lighting is dim, often deliberately — print black on white at a decent size, and don't use a delicate tint that looks lovely on your monitor and disappears under candlelight. And venue signal is frequently poor, especially in barns and country houses: confirm the guest Wi-Fi password in advance and put a Wi-Fi QR code on the same table card, so joining the network is one scan rather than a conversation with a staff member.

Before the day
- Scan every code on a phone that isn't yours, signed out of everything.
- Test on venue Wi-Fi if you can, or with mobile data turned down — the day itself will not have office broadband.
